Questions:

What is a Departmental Email Account?

How do I create a Shared Mailbox for my office, department, area, or registered student organization?

How does someone gain access to a Departmental Email Account?

Answer:

Departmental Email Accounts are used to send and receive "departmental" mail from areas outside of the department. These addresses might be published on websites or in other publications.

Names for these Departmental Accounts REQUIRE the format of department.familiarname (for example: Forestry.webmstr@wsu.edu or cub.front.desk@wsu.edu). The best practice is to limit the TOTAL characters in the name (including the periods) to 64.

Shared Mailbox Accounts

These are created as a fully functional email account including a calendar. Shared mailboxes do not use a password for access. Access is controlled by adding the individual Network IDs to the list of accounts that have full access to the mailbox.

You can request a Shared Mailbox be created for your department/area by submitting the request form and the following web address:

https://itsforms.wsu.edu/CougTech/DepartmentalMail.aspx

If you already have a Departmental Email Account and wish to change who has access to it, send us an email to crimsonservicedesk@wsu.edu giving us the name of the account and who you would like added or removed for access. (we need their Network IDs)  We may verify the request with the owner of the Departmental Mailbox before making the change.

Departmental Alias Accounts

Departmental aliases are used to receive 'departmental' mail that is redirected to an individual email address or mailing list. These addresses also might be published on Web sites or in other publications. An email alias does not have an inbox or calendar, it is merely a forwarding address.  You can use shorter email alias to forward emails to any other mailbox, including a Departmental Email Account.  For example, if you have a Departmental Email Account named Pullman.Front.Office@wsu.edu , you can ask us to setup an alias for Front.Office@wsu.edu and and anything sent to that will just auto-forward to the Pullman.Front.Office shared mail account.
