Steps to Create a Job Requisition

Execute the following steps to create a job requisition in the Workday system:

  1. Log in to the Workday system.
  2. On the Workday Home page, enter Create Job Requisition in the Search field and select Create Job Requisition - Task.

3. On the Create Job Requisition page, select the Supervisory Organization.

4. Select the For Existing Position option and enter the open position.

5. Select the Worker Type.

Note: Workday will only be used to create job requisitions for Classified Staff, Administrative Professional, and Faculty positions. Contingent workers will not go through the Workday job requisition process.

6. Select the OK button.

7. The Create Job Requisition task has multiple tabs listed on the left for user convenience. Select the Recruiting Information category and select the Edit Image Removed (pencil) icon:

a. Select the Reason for creating the job requisition.

b. Select the Recruiting Instruction. This field notifies HRS whether the job requisition should be posted internally, externally, or both.

NOTE: Positions will typically be posted both internally and externally.

c. Select the Recruiting Start Date to indicate the desired posting date.

d. Select the Target Hire Date. The target hire date cannot be before the Recruiting Start Date. In most situations, it should match the Recruiting Start Date. If a future hire date is known, such as the start of the next academic year, it can be identified here. A future date in this field will not prevent you from hiring sooner, if needed.

8. Select the Next button to move to the next category or select the Job tab from the left-hand menu.

9. Fields in the Job Details section display the default values based on the position selected. Review the information in each field and enter additional information as necessary.

Note: A Justification is required for Faculty positions.

10. A template will pre-populate in the Job Description and Additional Job Description fields. This is intended to help guide you through the information that is required for posting.

11. Scroll down to the Questionnaire section and select the applicable questionnaires from the Internal Career Site – Primary and External Career Site – Primary fields. If there are additional questionnaires to be selected, use the secondary questionnaires fields.

Note: Questionnaires are slightly different for internal vs. external candidates, but all questionnaires have a match for internal vs. external career sites. Please ensure you are selecting appropriately for each career site. For example, if the Primary Basic – Internal questionnaire is selected in the Internal Career Site – Primary field, the Primary Basic – External questionnaire must be selected in the External Career Site – Primary field.

12. In the Assessments section, leave the Inline Assessment Test field blank. All assessments for the requisition should be entered into the Default Assessment Tests field.

13. Select the Next button or select the Organizations tab from the left-hand menu.

14. All fields in the Organizations section are auto-populated based on the position and are read-only.

15. Select the Next button or select the Attachments tab from the left-hand menu.

16. Select the Add button to upload any required documents (such as posting advertisement language) in the Attachments section.

17. Select the Next button or select the Compensation tab from the left-hand menu.

18. All fields in the Compensation section are auto-populated based on the position.

Note: This information will not be visible to candidates. Enter compensation details for the candidate to view in the Job Description field located in the Job section.

19. Select the Next button or select the Assign Roles tab from the left-hand menu.

20. Select the Add button to assign roles. A job requisition can have three assigned roles: Primary Recruiter, Primary Recruiting Coordinator, and Search Committee.

Note: The Primary Recruiter and Primary Recruiting Coordinator role assignments are required. Search Committee assignments are optional.

    1. Select Primary Recruiter from the drop-down list in the Role field. The Primary Recruiter is the individual responsible for the job requisition.
    2. In the Assigned To field, search for and select the name of the Primary Recruiter assigned to the job requisition.
    3. Select the Add button to assign the Primary Recruiting Coordinator role for this job requisition. The Primary Recruiting Coordinator is the individual charged with assisting the Search Committee with tasks such as interview scheduling or reference checks. The same individual can be identified as both the Primary Recruiter and Primary Recruiting Coordinator.
    4. Select the Add button to assign a search committee for this job requisition.

e. In the Assigned To field, select the name(s) of the individual(s) to hold the Search Committee role.

Note: You can assign multiple individuals to a Search Committee. Continue searching for and selecting the individual(s) you would like to assign.

f. Select the Next button or select the Summary tab from the left-hand menu.

g. Review the job requisition details in the Summary section and select the Submit button.

21. After you submit the job requisition, the system will display a message showing next steps and details depending on who initiated the request.

Steps to Edit a Job Requisition

Execute the following steps to edit a job requisition in the Workday system:

  1. Log in to the Workday system.
  2. Select the Recruiting application on the Workday Home page.

Note:

  • If you do not have the Recruiting application on your Home page, you can add it by selecting the Configure Applications Image Removed (gear) icon and add Recruiting as an optional application on your Home page.
  • Alternatively, you can also enter the job requisition into the Search field at the top-left corner of the page.

3. Select Job Requisition under the View section.

Note: If you recently created the job requisition, it may display in the Recent section. You can select the desired job requisition from here to open the job requisition page.

4. Search for the desired job requisition in the Job Requisition field in the View Job Requisition page.

5. Select the OK button.

6. Select the Actions button next to the job requisition name.

7. In the pop-up window, select Job Change, and then select Edit Job Requisition.

8. This will open the Edit Job Requisition form. Select the Edit Image Removed (pencil) icon to make the desired changes.

9. In the Reason field, select the reason for making changes to the job requisition.

10. Select the Next button to move through the screens of the Edit Job Requisition form and make the desired changes.

11. Select the Submit button.

Steps to Close a Job Requisition

Closing a job requisition cancels the job requisition entirely. This action cannot be undone. Execute the following steps to close a job requisition:

  1. Log in to the Workday system.
  2. Select the Recruiting application on the Workday Home page.

Note:

  • If you do not have the Recruiting application on your Home page, you can add it by selecting the Configure Applications Image Removed (gear) icon and add Recruiting as an optional application to include on your Home page.
  • Alternatively, you can also enter the job requisition into the Search field at the top-left corner of the page.

3. Select Job Requisition under the View section.

Note: If you recently created the job requisition, it may display in the Recent section. You can select the desired job requisition from here. This will open the selected job requisition page.

4. Search for the desired job requisition in the Job Requisition field on the View Job Requisition page.

5. Select the OK button.

6. Select the Actions button next to the job requisition name.

7. In the pop-up window, select Job Change, and then select Close Job Requisition.

8. On the Close Job Requisition form, select the Reason for closing the job requisition from the drop-down list.

9. Use the calendar to select the Close Date.

10. Select the Submit button.
