Background:
To facilitate in copying LMS related attributes forward between semesters, the "Copy Class LMS Data" run control may be leveraged. This tool allows for LMS attributes to be copied forward for specific populations in myWSU (for example, LMS flags, Merged Course Configurations, roles associated with the LMS course space, and more). This information will then be collected in the data feed and fed to the LMS during the integration runs.
Before running this run control in myWSU, please review this knowledge base article in its entirety. This action is typically taken by a Campus Scheduler.
Prerequisite Notes:
- The Roll Prior Term Forward process must first be ran for the target term. This ensure the classes exist in the CLASS_TBL before the Copy Class LMS Data process is initiated.
- Within myWSU a LMS_SYNC process is initiated every hour before the SIS integration sends data to myWSU.
Creating the Run Control:
Navigation: Main Menu > WSU > WSU Student Records > Copy Class LMS Data
Classes to Copy Tab
The Classes to Copy tab is used to define the population of classes in the run Control.
1. Roll Terms: Define the source (from term) and target term (to term)
2. Define Population: Define the population of classes to roll LMS attributes for. This population can be defined by Academic group, Subject Area, Catalog Number, Campus, and Session.
Attributes to Copy Tab
1. Class Status:
- Active - Copy classes with an active status from the source term
- Cancelled - Copy classes with a cancelled status from the source term
- Tentative - Copy classes with a tentative status from the source term
- Stop Enrol - Copy classes with a Stop Enrol status from the source term
2. Roll Merged Sections:
- When selected:
- Classes that are merged (not to be confused with Combined Sections) in Maintain LMS Course Spaces in the source term are merged in Maintain LMS Course Spaces in the target term.
- Because each campus and/or department rolls/copies classes from term to term at different times, this will affect how merged classes are copied. Please note it is best practice to copy LMS data after all campuses have rolled/copied classes from term to term.
- Classes that are merged (not to be confused with Combined Sections) in Maintain LMS Course Spaces in the source term are merged in Maintain LMS Course Spaces in the target term.
- When NOT selected:
- Classes that had been merged in Maintain LMS Course Spaces in the source term WILL NOT be merged in Maintain LMS Course Spaces in the target term. The classes will have individual entries in Maintain LMS Course Spaces in the target term.
3. Roll LMS for Classes:
- When selected:
- It will copy the LMS attribute from source term to target term. Please note, for a course to be sent to the LMS it would need a LMS value, active status, and approved status.
- When NOT selected:
- It will set to default of NONE.
4. Roll People:
- When selected:
- Copy LMS users for the course from the source to target term. These users are defined within the Maintain LMS Users page in myWSU. Please note that instructors themselves are not rolled as part of this process.
Below are the options for roles:
- When NOT selected:
- LMS users defined in Maintain LMS User page will not be copied to target term.
5. Send Waitlist students to LMS:
- When selection = "Yes"
- All classes meeting the run control criteria will have "Send Waitlist students to LMS" enabled in Maintain LMS Course Spaces.
- When selection = "No" or "Schedule of Classes"
- All classes meeting the run control criteria will have "Send Waitlist students to LMS" NOT ENABLED in Maintain LMS Course Spaces.
