Background

  • WSU is in the process of migrating from our existing phone system to Zoom Phone. This article will provide dialing instructions for individuals who have migrated to Zoom Phone, and individuals who are on the existing phone system

Issue/Problem

Solution

Note: For any campus-specific dialing questions, please contact your campus IT for instructions or guidance. These instructions and notes are for the WSU System at large, and may not address unique dialing functionality which varies depending on your campus location.

How do I call various WSU campus employees or departments?

There are three ways to find and call contacts using the Zoom Client.

Phone Tab in Zoom

Select the Phone tab in your Zoom Client, and start by typing a name or number in the area labeled 'Enter a name or number...'

Contacts Tab in Zoom

In the Zoom Client, you can search for a Contact using the Search (Ctrl+F) function:

When typing in a user (first name and last name), you will get a result like the image below. You can message or call direct from here, or request them as a contact. To add them as a contact, click the three dots next to their contact entry.

You can also Star a contact, which will add them to the Dial Screen "Favorites:, and put them at the top of your Contact List.

You can visit your contacts, or the company directory, from your Zoom Workspace Contacts tab:

In general, the functionality is very similar to calling individuals on your personal cell phone.

Team Chat Tab in Zoom

Locate the individual, channel, or team you are trying to call. Right click or left click on the three dots to the right of their name, and select Phone call

Has dialing changed from how I used to call other WSU individuals?

It really hasn't changed! WSU Extension dialing (or short dialing) works like it did on the previous phone system. However, there a few small but important differences:

  •  Dialing 7, 9, or some other digit to 'dial out' is no longer necessary
    • Either you dial a full phone number, an extension, or select call from the contact directory

  • Extension dialing for WSU numbers works as it previously did, with extension references listed on the table below

  • Dialing the full WSU phone number is also an option

  • For some individuals, you may not be able to place external calls (phone call to a non-WSU phone number) as the only calling function needed for your position and duties is to call WSU faculty, staff, and related support services.
    • NOTE: External calls can still be received for these individuals, but are done through an automated receptionist, where the external caller places a call to a general campus or department number, and are prompted to enter your extension or verbally speak your name/extension. This is very similar to most modern companies or support centers, where an individual's extension is advertised, but the phone number publicized is a single automated receptionist number.
    • Example - You are communicating with a cohort from another university, and they want your phone number to call you. You will give them your campus or department phone number, and your extension like this: Pullman ITS Number 509-335-9880 and enter extension 1234 or say 'Butch Cougar' to reach Butch Cougar in ITS.

How do WSU faculty or staff, who are not on Zoom Phone, call me?

They simply dial your WSU extension like they did previously! For the most part, this would be a single number corresponding to a location or campus, and then the last 4 digits of your WSU phone number.
