Storage Limit Changes

By April 15 2026, WSU will implement the below storage changes that will reduce the available storage capacity for Outlook, OneDrive, Teams, and SharePoint for all users:

  • Students - 1 GB for Outlook, 1 GB for OneDrive
  • Faculty & Staff - 10 GB for Outlook, 10 GB for OneDrive
  • Emeriti Faculty - 10 GB for Outlook, 10 GB for OneDrive
  • Affiliates & Hourly - 500 MB for Outlook, 1 GB for OneDrive
  • Shared Room & Equipment Mailboxes - 500 MB for Outlook
  • All Units - Storage allocations for Teams, SharePoint sites, and Microsoft 365 Groups - 5GB, additional storage available via departmental request

Create a streamlined, uninterrupted Microsoft experience during your time at WSU by regularly checking your Microsoft 365 storage usage to help you stay within your provided allocations.

To ensure you have the opportunity to manage your storage usage accordingly, Microsoft will also provide warning messages within Outlook, OneDrive, Teams, and SharePoint when you are close to or have exceeded your storage allocation.

General Recommendation

To check your overall WSU Microsoft storage usage, you can copy the following storage management URL and paste it into a new tab on your web browser:

https://emailwsu-my.sharepoint.com/personal/YOUR_NID_wsu_edu/_layouts/15/storman.aspx

Please ensure that the bolded and italicized portion of the URL is replaced with your WSU Network ID (NID). If your WSU NID contains any periods or hyphens, please replace them with an underscore in the URL.

Example: An example of the URL for a user with the WSU NID of butch.cougar is as follows:

https://emailwsu-my.sharepoint.com/personal/butch_cougar_wsu_edu/_layouts/15/storman.aspx

Outlook Storage

The following instructions can assist you with reviewing your WSU mailbox size and email storage use based on the Outlook version you access.

Outlook for Windows

  1. Open the Outlook desktop application on your Windows device.
  2. In the top ribbon, select the File tab.
  3. Select the Tools option.
  4. Select the Mailbox Cleanup option.
  5. Select the View Mailbox Size option.
    1. This will display how much of your current email storage quota you have utilized for your WSU account, with a storage use breakdown for various folders.

Outlook for Mac (New Version)

  1. Open the Outlook desktop application on your Mac device.
  2. In the top menu bar of your Mac, select the Tools option.
  3. Select the Manage Storage option.
    1. This will display how much of your current email storage quota you have utilized for your WSU account, with a storage use breakdown for various folders.

Outlook on the Web

  1. Sign in to Outlook on the Web with your WSU credentials.
  2. In the top right of the page, select the Settings (Gear) icon.
  3. Select the Account tab.
  4. Select the Storage tab.
    1. This will display how much of your current email storage quota you have utilized for your WSU account, with a storage use breakdown for various folders.

OneDrive Storage

(Recommended) OneDrive on the Web

Please utilize this process to review storage metrics provided by OneDrive. This process provides the most accurate summary of your storage use for your WSU OneDrive as it captures all cloud-synced files.

  1. Sign in to OneDrive Online with your WSU credentials.
  2. Navigate to the left navigation menu.
  3. In the left navigation menu, scroll to the bottom and find the Storage section.
  4. Select the hyperlinked number for your OneDrive storage usage value.
    1. This will display a list of your largest files in OneDrive.

OneDrive on Windows

  1. In the Windows notification section on your Windows device, select the OneDrive (Blue Cloud) icon.
  2. Select the Settings option.
  3. Select the Manage Storage option.
    1. This will display a list of your largest files in OneDrive.

Teams and SharePoint Storage

The following instructions can assist you with reviewing the sizes of Teams and SharePoint sites you own. Storage information is only available to users listed as owners of Teams and SharePoint sites.

  1. Sign in to Microsoft 365 with your WSU credentials.
  2. In the Apps section, select the SharePoint option.
  3. Select the Team or SharePoint space you want to review.
  4. In the left navigation menu, select the Site Contents tab.
  5. In the top right of the page, select the Site Settings option.
  6. In the Site Collection Administration section, select the Storage Metrics option.
    1. This will display how much of your current site storage quota you have free and the total size of different areas within the Teams or SharePoint site.
