Your WSU Microsoft 365 access (email, OneDrive, Teams, and more) continues for a limited time after you graduate or leave the university.

The length of access is based on one factor: Whether you have ever been employed by WSU.

  • Former students with no employment history → Keep access for 400 days
  • Former students with any employment history → Keep access for 30 days

Follow the steps below to determine your specific expiration date.

Quick Overview

Your WSU Microsoft 365 access changes after you leave the university as a student or employee.

Step 1: Identify Your Status

Ask yourself: Have I ever worked for WSU in any role?

  • Yes → 30 days of access after the final day of the most recent term completed
  • No → 400 days of access after the final day of the most recent term completed

If you received any type of compensation (pay, housing, benefits, or similar), answer Yes.

This may include:

  • Student Jobs (Hourly or Work-Study)
  • Part-Time or Full-Time Positions
  • Resident Advisors
  • Teaching Assistants
  • Research Assistants

Some WSU roles provide non-cash benefits instead of a paycheck, but still count as employment.

If you received any type of compensation, you are considered a WSU employee.

You can confirm your employment status by checking your WSU account:

  1. Sign in to account.wsu.edu with your WSU credentials.
  2. Under the Personal Details section, select the Manage Personal Details button.
  3. Under the Personal Information section, look for employment identifiers such as:
    1. Employee Hire Date
    2. Employee Separation Date
    3. Employee Type
    4. Employee Role
    5. Former Employee
  4. If your profile includes employment identifiers, you are considered a WSU employee.

You may also connect with the Crimson Service Desk team at 509-335-4357 or crimsonservicedesk@wsu.edu to review your user history.

Step 2: Find Your Last Term End Date

Use the final day of the last academic term you completed at WSU. Do not use your graduation ceremony date—use the official term end date.

  • If you graduated → Use your final term
  • If you stopped attending → Use your last completed term
  • If you took a break and did not return → Use the last term you finished

Please refer to the WSU academic calendar for your campus. Find your term and use the official last day noted in the academic calendar.

Please Note: Some WSU colleges and programs may follow unique term schedules that are not listed in the general university academic calendar.

Step 3: Calculate Your Expiration Date

Start with your term end date from Step 2 and add the number of days based on your status.

  • Never worked for WSU → Add 400 days

  • Worked for WSU → Add 30 days

  • No → Use your term end date

  • Yes → Use your last day of work

Use whichever date is later if you continued working for WSU after your final academic term.

Please Note

Files stored in your WSU Microsoft 365 account (including email and OneDrive) may not be recoverable after your access expires.

If you previously configured email forwarding to an alternate email account, those forwarding rules will be disabled and new emails will no longer be forwarded when your access expires.

After your WSU Microsoft 365 access expires:

  • You can no longer sign in to your WSU email
  • You lose access to your OneDrive files
  • You lose access to Microsoft 365 apps and services

Before your access expires, make sure to:
