Is there a way to get a Future Employee their WSU Email Account before their official start date?

Can a Future Employee get a WSU Email Account early?

Answer:

If you need your Future Employee whose start date isn't here yet to have their WSU Email Account early, the department can add a MyWSU Affiliation to their Person Record in MyWSU for the Future Employee Affiliation type.  Once added, that Affiliation goes ahead and creates their WSU Network ID (if it doesn't exist yet), and then assigns their Office 365 License and WSU Mailbox for their WSU Email Account.  This happens overnight after the Affiliation is granted. (This will not mark them as an Active Employee in the system though, and some items like Workday and Percipio need that before the user can login to those systems.)

The Departmental Person responsible for Adding MyWSU Affiliations can do the following:

  1. Navigate to Campus Community > Affiliations > Add/Update Affiliations.
  2. Click on Add New.
  3. Enter the Future Employee's ID Number.
  4. Click the + and choose the campus specific FUT_EMP_ code. (for example Pullman would be - FUT_EMP_P)
  5. Enter today/the day it is being added as the start date.
  6. Enter the end date of ~ 2 weeks after their expected start date.
  7. Make sure both the Affiliation Type and Descriptor boxes are set to Active.
  8. Click Save.


We do request local departments handle adding these MyWSU Affiliations themselves. If a departmental person needs access to add MyWSU Affiliaitns, their area approver would need to send an email to access.sis@wsu.edu requesting access to apply/add affiliations and which campuses the employee would need access to. Similarly, there are affiliations for Visiting Scholars, so if they have students coming to campus for a program but they won't be enrolled, this is a way to get them a WSUID, email, and Cougar Card.
